Excel Macro Tips – How To Remove Personal Information From Excel Using Some Simple VBA

In every Microsoft Excel workbook, there will by default be personal data stored within it, which will be hidden within the workbook itself or within the document attributes (this is known as meta data). Different types of information stored may include the following:

  • Your name

  • Your initials

  • The name of your company or organization

  • Your computer name

  • The name of the network server or hard disk where you saved the workbook

  • Some file attributes and summary information

  • Invisible components of embedded OLE objects

  • Document updates

  • Hidden text or cells

  • Personalized ideas

  • Comments

If you plan to share your workbook electronically it’s probably a good idea to remove any personal information from it. I always remove my personal information from my workbooks especially when I make my Excel templates and examples available for public download. Here’s a quick and easy way to write an Excel macro to remove this type of information from your Excel workbook. It’s very easy, and once you get used to it, it can become part of your routine for saving your Excel workbooks.

  • Open your Excel workbook from which you want to remove your personal data

  • Hit ALT+F11 as a shortcut to open the Developer Tab or you can choose another way to select the Developer Tab.

  • Click Install module

  • Type the code below into the module

NONE

ActiveWorkbook.RemovePersonalInformation = True

End Description

Now you can easily run the code by selecting the following

  • Click the Developer tab

  • Select Macros

  • Select Remove_Info (this is the name we gave the macro in the first line of code.

  • Click OK

  • The next time your workbook is opened, your information will be gone.

Alternatively you can run the code in the prompt window which is very useful, as it can be used as a kind of sandbox to test the results of your macros live and see the results. If you want to make the Quick Window invisible and press ALT+F11, then click CTRL+G to open Quick Window and put the cursor on it.

All you have to do is type the name of the macro in the window where the cursor is blinking. In this example we will type Remove_Info then click restore and the macro runs.
