*Have you ever been frustrated with Microsoft Excel when you were working with a cell but you want to display cell units like 5 Kgs, 5 Bags or 4 Punnets but Microsoft Excel always converts the cell to text. Well, there is actually a way to create a custom format in Microsoft Excel that allows you to display units of value while keeping the value treated as a number.*

**So, how do we…**

Well, first we need to enter the Format Cells dialog box in Microsoft Excel as this is a dialog box that allows you to create a custom format but before you do that make sure you select the cell you want to use. format to.

First click on cell D4, in the new worksheet and use the shortcut key [Ctrl] + [1] to bring up the Format Cells dialog box and then select the Number field. In the example you will notice that our units are in double quotes. Double quoting is there to identify what are actually elements of the text. The # symbol simply indicates that there is a number to be displayed or if there is no number then nothing is displayed. The symbol 0 says that if there is a number, display the number but if there is no number in the field, put a zero in its place. A minus sign in negative format means that even if you type a number with parentheses around the value, the application will convert the parentheses to a negative sign at the beginning of the cell.

So, let’s try this custom format by typing in the sample shown above. Once you’ve done this simply click the OK button at the bottom of the Format Cells dialog box. Now that the Custom format is applied enter the value 5 in the cell and press i [Enter] the key. You will see at this point that the value is displayed as

**5.00 kg**

If you now type the value of minus 10 into the cell and press enter, you should see the value displayed as –

**-10.00 kg**

Why not try this same process to create other different unit types. You can use this technique for any unit value you want. One thing to note, if you are going to use this technique in a template for other users, make sure you train your users not to type Unit values, in fact they should let Microsoft Excel set the units for their cells.
